Clinic Assistant
Overview
We're seeking a compassionate and professional Clinic Assistant to join our innovative mental health practice. As the first point of contact for our clients, you'll play a crucial role in creating a welcoming, safe, and supportive environment. This position is ideal for someone passionate about mental health, holistic healing, and providing exceptional client care.
Specific Responsibilities
- Warmly greet and assist clients, ensuring a positive first impression and ongoing experience
- Manage front desk operations efficiently, including client check-ins and inquiries
- Maintain accurate, confidential client records in compliance with HIPAA regulations
- Coordinate client intake processes, including form completion and document collection
- Facilitate smooth communication between clients and clinical staff
- Create and maintain a calming, therapeutic atmosphere in the reception area
- Handle administrative tasks such as inventory management and office organization
- Serve as a knowledgeable resource on clinic services, therapies, and policies
Qualifications
- High school diploma required; associate's or bachelor's degree in psychology, healthcare administration, or related field preferred
- 2+ years of experience in a healthcare or wellness setting, ideally in mental health
- Exceptional interpersonal and communication skills, with a demonstrated ability to interact compassionately with diverse clientele
- Strong understanding of mental health issues and a genuine interest in psychedelic therapies
- Proven ability to handle sensitive information with utmost discretion and maintain confidentiality
- Proficiency in office software (e.g., Google Workspace, Microsoft Office) and electronic health record systems
- Excellent organizational skills with the ability to multitask in a fast-paced environment
- Empathetic, patient-centered approach with a commitment to destigmatizing mental health treatment

Our team consists of Board of Anesthesiology certified Anesthesiologists (MD, DO), Certified Registered Nurse Anesthetists (CRNA), Registered Nurses (RN), Psychotherapists (LMFT, PhD, LCSW) with training and experience in Ketamine Assisted Psychotherapy (KAP), Psychedelic Guides and Life Skills Coaches. Our protocols are based on the most current peer-reviewed literature as well as extensive first-hand experience providing thousands of treatments over the past 6 years. We pride ourselves in providing truly integrative patient care and the most efficacious and compassionate treatment available. Our clinics are designed to feel comfortable and cozy, while simultaneously maintaining the rigorous standards of a fully licensed medical clinic.
Our treatment philosophy is centered around an integrative, collaborative approach emphasizing the importance of the overall well-being of the patient (including sleep, nutrition, exercise, social relational, emotion regulation, etc.) through a multi-faceted approach. We believe that each patient’s experience and journey through this healing process is augmented not only by the various properties of the nutrients and medications administered but by the support structure created around a person and the chemistry between patient and the therapeutic team.
